We are considering placing an order with your company. Why don't you offer meetings or voice calls?
We appreciate your interest. However, at our company, all communication and consultations are handled exclusively via email (text-based communication).
There are three main reasons for this policy:
1. Ensuring Accuracy in Communication
In Japanese, even without any ill intent, it is not uncommon for people to proceed with conversations based on different assumptions—especially when phrases like "yes" or "I agree" are used out of politeness, rather than clear agreement.
To prevent misunderstandings or rework caused by such discrepancies, we prefer to keep all exchanges in a written, traceable format, which helps clarify and align mutual expectations.
2. Operational Efficiency and Information Management
We use an in-house system called "Rainbow-Link"® to organize, archive, and search all incoming and outgoing emails. This enables us to:
- Instantly access and review previous correspondence with clients
- Respond based on accurate historical context
- Share updates without unnecessary delays or miscommunication
We tailor the pace and style of our progress reports to suit each client's preferred communication rhythm—whether that means daily updates or consolidated reports every few days.
Our aim is to maintain clear, comfortable progress sharing without ever making clients feel "ignored" or "overwhelmed."
Additionally, we regularly publish FAQ-style articles. When we anticipate potential confusion or frequently asked questions, we proactively share relevant links so clients can confirm details in advance and prevent misalignment.
3. Risk Management and Accountability
Depending on the project, it may be essential to retain accurate, time-stamped records of all communications in case of disputes or legal complications.
To ensure traceability and protect both parties, we adhere to strict communication protocols:
- We only use our official email server (no Gmail or external PM tools)
- All replies are centralized through email only
- In case of extended server downtime, we provide updates via our official accounts on Mesh2Net, X (formerly Twitter), or other SNS platforms ( List )
For these reasons, if you are seeking in-person or voice-based consultations, our working style may not be the right fit.
That said, we are happy to receive and review audio guidance or recorded files provided by clients, as long as they are shared via email attachment.
We sincerely appreciate your understanding and cooperation.
